About KoBoToolbox
KoBoToolbox is an open-source data collection platform built for field research and humanitarian work. It lets teams design surveys using a drag-and-drop form builder, collect responses offline on Android devices, and analyse results through built-in visualisation tools. Originally developed by the Harvard Humanitarian Initiative, it is used by organisations like UNHCR, UNICEF, and the World Health Organization for data gathering in low-connectivity environments.
The platform supports XLSForm and XForm standards, which means survey logic can get quite complex (skip patterns, cascading selects, GPS capture, image uploads) without needing custom code. Data syncs automatically when connectivity returns, and the API allows you to pull submission data into external systems for reporting or further processing.
For Australian organisations running field programs, environmental monitoring, or community health surveys, KoBoToolbox removes the need for paper-based data collection. But the real value comes when you connect it to your downstream systems. Using n8n or direct API integrations, submission data can flow automatically into your CRM, data warehouse, or reporting dashboard without anyone manually exporting CSV files. If you need help connecting KoBoToolbox to the rest of your tech stack, our system integration services can handle the entire pipeline from form submission to final report.

How it works
We work hand-in-hand with you to implement KoBoToolbox
As KoBoToolbox consultants we work with you hand in hand build more efficient and effective operations. Here’s how we will work with you to automate your business and integrate KoBoToolbox with integrate and automate 800+ tools.
Step 1
Design Your Form in KoBoToolbox
Log into KoBoToolbox and use the form builder to create your survey. Add question types (text, select, GPS, photo), set up skip logic and validation rules, and preview the form on mobile. For complex surveys, you can upload an XLSForm spreadsheet directly.
Step 2
Deploy and Collect Data
Deploy the form and share it with your field team via KoBoCollect on Android or the Enketo web form link. Field workers can fill in responses offline, and submissions will sync when they reconnect. Monitor incoming data through the KoBoToolbox dashboard.
Step 3
Set Up a Webhook for New Submissions
In KoBoToolbox, go to your form’s Settings and add a REST Service. Choose JSON format and point the webhook URL at your integration endpoint, such as an n8n webhook node. Each new submission will trigger a POST request with the full response data.
Step 4
Build Your Integration Workflow in n8n
In n8n, create a workflow starting with a Webhook trigger node. Map the incoming KoBoToolbox JSON fields to the appropriate fields in your destination system, whether that is a CRM record, a database row, or a Slack notification. Add error handling to catch malformed submissions.
Step 5
Transform and Route the Data
Use n8n Function or Set nodes to clean up the data: parse GPS coordinates into separate latitude/longitude fields, format dates, and map coded values to human-readable labels. Route submissions to different destinations based on form responses (e.g., urgent cases to a different channel).
Step 6
Test End-to-End and Go Live
Submit several test entries through KoBoCollect to verify the full pipeline works: form submission, webhook trigger, data transformation, and final delivery to your downstream systems. Check for edge cases like offline sync delays and large photo attachments before rolling out to your full field team.
