RPA is the answer when the system will not open the door

Robotic process automation drives software through its own interface, the way a person would: clicking, typing, reading the screen. That makes it the slowest and most fragile kind of automation, and also the only one that works when there is no API. We use it deliberately, not by default.

The vendor has no API

Plenty of industry software, particularly in insurance, logistics and government-adjacent work, offers no programmatic access at all. A bot using the same screens your staff use is the way in.

The API exists but not for your plan

Some vendors put the API behind an enterprise tier that costs more than the automation saves. A bot avoids the upgrade. We will still check the maths on the upgrade first, because a real API is always the better foundation.

High-volume, rules-based, and genuinely boring

Downloading forty reports, renaming them and filing them. Rekeying between two systems. Work with no judgement in it, done the same way every time, at volume. This is where RPA pays.

You cannot change the system, but you can change who uses it

What we tell clients about RPA before they buy it

RPA has a reputation problem, and it is partly deserved. Bots that break every time a vendor moves a button have burned a lot of budgets. Here is how we avoid that.

We check for an API first, every time

If the system has an API, we build the integration instead. It is cheaper to run, far more reliable, and it does not break when the interface changes. We only reach for a bot once that door is closed.

Bots need maintenance, and we say so upfront

A screen-driven bot will break when the vendor ships a redesign. We quote the running cost alongside the build cost, so the decision is made on the full number rather than a pleasant half of it.

Do not automate a broken process

A bot doing the wrong thing quickly is worse than a person doing it slowly, because nobody notices for a month. If the process needs fixing, fix it first. Our audit day exists for exactly this.
