The Outlook node can send emails (with attachments, CC/BCC, and HTML formatting), read and search your inbox, move messages between folders, reply to messages, and delete emails. You can also read email headers and metadata. Yes. The Outlook node supports creating, updating, and deleting calendar events, as well as listing events within a date range. We use this to automatically schedule onboarding calls when a new client signs up, block out project time when tasks are assigned, or send calendar invites to multiple attendees based on data from your CRM or project management tool.

It works with shared mailboxes as long as the authenticated user has the correct permissions in Microsoft 365. You specify the shared mailbox address and n8n sends or reads on behalf of that mailbox. Distribution lists can be used as recipients when sending emails. We configure the correct Microsoft Graph API permissions during setup to ensure shared access works reliably.

The Outlook node uses OAuth 2.0 through a Microsoft Entra ID (Azure AD) app registration. We set up the app registration with only the minimum required API permissions -- typically Mail.ReadWrite and Calendars.ReadWrite. Access tokens refresh automatically. For organisations with strict security policies, we can configure the connection to work within your existing Entra ID tenant and conditional access policies.

Yes, and this is one of the most common use cases we build. The workflow polls your inbox (or a specific folder) for new messages matching your criteria, then extracts data from the email body or attachments.
